Job Description Summary

Records Associate will be proficient in processing electronic data or paper files. This task requires the ability to process electronic files in data bases or shared drives. Additional responsibilities include, navigating complex excel spreadsheets, and filtering key data that will be utilized in various records projects. Excellent verbal and written communication skills are critical to being successful in this role as frequent interaction with internal and external stakeholders will be required.

Job Description

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:
  • Scan documents into electronic format using established naming conventions.
  • Create, organize, and navigate through excel spreadsheets containing an abundance of data.
  • Create, edit an update files in file tracking software (File Trail).
  • Prepare records for off-site warehouse storage following MMC procedures and utilizing Iron Mountain connect system.
  • Utilize records management software to initiate locate client requested file(s) searches.
  • Retrieve client requested files in a timely manner.
  • Manage sensitive and/or confidential documents and information consistent with client policies.
  • Escalate to manager or client when deadlines are not achievable.
  • Ensure the correct process is followed when files need to be sent off site or being stored electronically that is consistent with client policy
  • Understand clients records retention policies.
  • Correct and modify inaccurate file and box index information.
  • Respond to Legal Hold requests.
  • All duties as assigned.
  • Must assist in providing services in all service lines in addition to primary role.

JOB REQUIREMENTS & QUALIFICATIONS:
  • High school diploma or equivalent (GED)
  • Minimum of 2 year records management experience with experience working in a records management software
  • Ability to work in a fast-paced team environment
  • Attention to detail with emphasis on accuracy and quality
  • Ability to prioritize work to balance multiple projects and deadlines
  • Excellent verbal and written communication skills
  • Exceptional customer service skills
  • Strong Computer Skills required
  • Must be able to lift up to 50 lbs. on a regular basis
  • Must be able to work standing up for long periods of time when required
  • Knowledge and basic experience operating reproduction equipment, to scan files to electronic format
  • Experience solving basic technical problems
  • Strong Excel knowledge required

The company will not pay less than minimum wage for this role.


The compensation for the position is: $22.00 - $22.00
